How to manage stakeholder expectations

Stakeholder expectation management is a essential practice for anyone responsible for project management or those (BA/UX) who have participated in workshops discussing its scope.

The illustration below represents stakeholder expectations regarding the project scope for the MVP phase. Fortunately, this time we managed to reach a consensus.

In this case, I applied a method for defining the project scope based on the User Value vs. Effort matrix. This method allowed us to:

  • Assess which requirements creates the most value from a user perspective.

  • Listen to the technical team to better understand how much effort and resources their implementation would require.


As a result, we were able to focus on those aspects of the project that provide the most value to users and stakeholders.


When it comes to managing expectations, it's crucial to ensure that none of the key stakeholders feel excluded from decision-making process. To build trust and achieve our desired goals, I propose actively listening to all voices.
